1. Project Overview
Hibex India Pvt. Ltd. was using an existing Odoo ERP system where transactional, inventory, accounting, and warehouse configurations were not aligned with standard business processes. Due to incorrect transaction handling, improper warehouse structures, and inaccurate accounting records, the system required complete analysis, restructuring, and data correction.
The objective of the project was to stabilize the existing Odoo environment, correct historical data, establish a proper warehouse structure, reconcile inventory valuation, migrate required data, and improve operational efficiency through customization.
2. Client Background
Hibex India Pvt. Ltd. was operating with multiple business locations, including Bangalore, Manesar, Chennai, Pune, and Mumbai. The company was managing inventory and accounting operations through Odoo but faced challenges due to incorrect configurations and inconsistent historical transactions.
The requirement was to restructure the ERP system for better inventory control, accurate accounting, and smooth business operations for Manesar company and its branch (Bangalore).
3. Business Challenges
The existing Odoo system had multiple issues affecting inventory accuracy, accounting reliability, and operational reporting:
Transaction & Data Issues
- Existing Odoo database contained inconsistent and incorrect transactional data.
- Several Sales Orders were forcefully delivered, resulting in incorrect stock movements.
- Customer Invoices and Vendor Bills contained incorrect or incomplete information.
- Historical accounting entries were inconsistent, impacting financial reporting.
Inventory & Valuation Issues
- 7000+ product imported
- Inventory quantities did not match actual physical stock.
- Inventory valuation was inaccurate and did not reconcile with accounting records.
- Opening balances for inventory, invoices, bills, and fixed assets were missing or inaccurate.
- Legacy data required cleansing before migration.
Warehouse Structure Issues
- Warehouse configuration was not aligned with Odoo best practices.
- Improper warehouse-location hierarchy created difficulties in stock tracking and reporting.
System Configuration Issues
- Company and branch configuration was not properly structured for Bangalore and Manesar operations.
- Lack of a self-service attendance system required manual attendance management.
- Existing ERP setup required restructuring to match business processes.
4. Solution Provided
To resolve the above challenges, a complete ERP cleanup and restructuring approach was followed:
Database Analysis & Data Correction
- Performed detailed analysis of the existing Odoo database.
- Identified inventory, accounting, and transactional inconsistencies.
- Cleaned and corrected historical transactional data.
- Corrected improperly processed deliveries, stock movements, customer invoices, and vendor bills.
Inventory Valuation & Accounting Reconciliation
- Reconciled inventory records with accounting data.
- Eliminated valuation discrepancies between stock and financial records.
- Completed inventory valuation up to 1st April and later extended it up to 1st June.
- Verified accounting impact after inventory corrections.
Warehouse Restructuring
- Redesigned warehouse structure according to Odoo standards.
- Created new company and branch for Bangalore and Manesar.
- Created separate warehouses for Bangalore and Manesar operations.
- Reorganized existing locations into a proper warehouse-location hierarchy.
- Configured operational locations for each location
Data Migration
- Imported and validated:
- Inventory Opening Balances
- Customer Invoices
- Vendor Bills
- Fixed and accumulated Assets
- Migrated inventory from old locations to the redesigned warehouse structure.
- Ensured stock accuracy after migration.
Company-Branch Configuration
- Created the company and branch structure. Upon creating the company, the default configuration was automatically applied to the branch. The required configuration for the existing branch was reviewed and updated accordingly.
- Validated business flows after configuration changes.
Custom Attendance Portal Development
- Gathered attendance management requirements from the client.
- Designed and implemented a custom Attendance Portal.
- Enabled employees to submit attendance directly through the portal without accessing the Odoo backend.
- Improved attendance management efficiency and user convenience.
5. Implementation Approach

- Analysed existing configurations, transactions, inventory, and accounting records.

- Corrected inaccurate transactions and prepared data for migration.

- Created new company structures and redesigned warehouse hierarchy.
Phase 4: Data Migration & Reconciliation
- Imported required data and verified inventory and accounting balances.
Phase 5: Testing & Deployment
- Conducted functional testing and User Acceptance Testing (UAT).
- Provided implementation support after deployment.

- Established a structured warehouse management system following Odoo standards.
