Zoho Implementation Partner South Africa

At a glance

Techvaria is a Zoho partner for South Africa, implementing Zoho One, Zoho Creator custom applications and the Zoho Books South African edition for companies in Johannesburg, Cape Town, Durban and elsewhere. We work with operations and finance owners who want to replace spreadsheets, older desktop accounting or disconnected tools with one Zoho setup. Delivery is remote from our offices in Bangalore, Ahmedabad and Dubai, and South Africa is 3.5 hours behind India, which gives a full morning of shared working time.

We are a Zoho Premium Partner, implementing since 2016, with 350+ implementations. We do not have an office or staff in South Africa. Zoho itself has its own offices in South Africa; we are an independent implementation partner.

Zoho One implementation in South Africa

Zoho One bundles CRM, Books, Inventory, Desk, People, Projects, Analytics, Creator and more under one licence and one user directory. The value comes from connecting the apps properly, not from switching them all on. A Zoho One implementation with us starts with your main processes and rolls out in phases:

  • Phase 1: Zoho CRM for leads, deals and quotes, linked to Zoho Books for invoicing and VAT. Many South African clients start with Zoho CRM alone and add the rest later.
  • Phase 2: Zoho Inventory for stock and purchasing, or Zoho Projects and timesheets for services firms
  • Phase 3: Zoho Desk for support, Zoho People for HR records and leave, and Zoho Analytics dashboards across all of it

Each phase ends with trained users and a working process, not just configured apps. See our Zoho implementation page for how we run projects.

Zoho Creator custom apps for South African businesses

Zoho Creator is our main area of strength. When a process does not fit a standard app, we build it as a Creator application connected to your CRM and Books data. For companies looking at custom CRM development in South Africa, a Creator app on top of Zoho CRM is often faster to deliver and cheaper to maintain than software written from scratch. Common requests include:

  • Job cards and field service forms for technicians, with offline mobile capture
  • Contract, lease or equipment rental management with billing schedules
  • Compliance registers, inspections and audit trails
  • Procurement approvals with spend limits by role
  • Dealer or customer portals for orders and statements

If your team still runs on Microsoft Access, AppSheet or Airtable, we have set migration paths: Access database to cloud, AppSheet to Zoho Creator and Airtable to Zoho Creator. More detail on Zoho Creator services, or hire a Zoho Creator developer for ongoing work.

Industries we build for in South Africa

Zoho names IT hardware and IT services, financial services, retail, manufacturing and professional services among its key sectors in South Africa. These are the builds we see most often in those sectors and in export-led agriculture:

IndustryTypical buildLocal system or rule to plan for
Financial services and FSPsZoho CRM for client records and review schedules, with a Creator register of policies, products and advice documents linked to each clientPOPIA access controls, and the record-keeping rules your compliance officer sets for advice files
ManufacturingZoho Inventory and Books for stock and costing, with Creator apps for production orders, bills of materials, batch tracking and quality checksVAT201 figures drawn from the same stock and sales transactions
Retail and distributionZoho POS for stores, Zoho Inventory for warehouses and a Creator dealer portal for wholesale orders and statementsZoho POS now has a South African edition that connects to Zoho Books
Agriculture and agri-processing exportersCreator apps for grower intake, packhouse batches, consignment files and export document packs, linked to Books for invoicingThe PPECB inspects South Africa’s perishable exports, so inspection references are kept against each consignment

For professional and IT services firms, the usual setup is Zoho Projects with timesheets billed through Zoho Books. Logistics and freight companies often keep their core freight system and use Creator for job files, proof of delivery and customer updates around it. Mining services contractors use the same job card and equipment inspection apps we build for field teams; core mine planning and processing systems are outside our scope.

Zoho Books South African edition: VAT201 and the 2030 e-invoicing roadmap

Zoho launched the South African edition of Zoho Books on 28 August 2024. It supports SARS VAT201 returns, so your VAT figures come from the same transactions you invoice and pay from. We set up your chart of accounts, VAT codes, bank feeds, invoice templates and opening balances, and train your finance team on the monthly VAT201 routine.

On e-invoicing, SARS published an e-invoicing and digital reporting consultation paper on 17 August 2026. It proposes mandatory e-invoicing from 2030, phased in starting with large taxpayers. Nothing is final yet, but the direction matters for how you set up your system now:

  • Keep customer and supplier VAT numbers complete and accurate
  • Use structured item codes instead of free-text invoice lines
  • Link every credit note to its original invoice
  • Keep one unique invoice sequence per series

Clean data in Zoho Books today means less rework when the SARS rules are confirmed. We will update our guidance as SARS publishes its final requirements.

Moving from Sage Pastel or Sage 50 to Zoho Books

Many South African small and mid-sized businesses run Sage Pastel or Sage 50 on desktop. Finance teams looking for a Sage Pastel alternative usually want cloud access, bank feeds and a link to CRM and inventory. A typical migration with us covers:

  1. Review: chart of accounts, VAT setup, customer and supplier lists, open items and inventory in your Sage company
  2. Clean-up: merge duplicate contacts, close dormant accounts and agree the cut-over date, usually a month or year end
  3. Migration: import masters, open invoices and bills, and trial balance as opening balances
  4. Reconciliation: match debtors, creditors, bank and VAT balances to your Sage reports
  5. Parallel run and training: a short overlap period, then Sage is kept read-only for history

We decide with you whether to bring across full transaction history or only balances and open items. Most clients choose the second, because it is faster and cleaner.

POPIA and how you handle customer data

The Protection of Personal Information Act (POPIA) applies to how your business collects and uses personal information, whatever software you use. Moving to Zoho is a good point to tidy up your own practices. This is general guidance, not legal advice:

  • Give users access only to the records their role needs, using profiles and roles in each app
  • Record consent and the source of each lead or contact in CRM
  • Agree how long you keep customer data and delete what you no longer need
  • Keep an audit trail of who changed or exported personal records
  • Review Zoho’s own published privacy and security terms with your information officer

We configure roles, field-level permissions and audit settings to match the policy you set. Your information officer or legal adviser should confirm what POPIA requires of your business.

How delivery works

Techvaria has offices in Bangalore, Ahmedabad and Dubai, where we operate as Techvaria IT Services LLC. South Africa is 3.5 hours behind India Standard Time, so a 08:00 to 13:00 South African morning falls inside our Indian afternoon, and Dubai is two hours ahead of you. That gives good overlap for workshops, user training and go-live support, all run over video. Development and testing continue between sessions.

You get one project manager, a named functional consultant and developers as the scope needs. We do not visit on site in South Africa as standard. See case studies for examples of our delivery, or hire a Zoho developer for ongoing support after go-live.

Scoping and pricing

We quote in ZAR after a scoping call. The quote depends on the apps, number of users, integrations, data migration and any Creator development in scope. Zoho licence costs are shown separately from our fees. For Zoho One pricing in South Africa, Zoho publishes its licence rates on its own website; we help you choose between Zoho One and individual apps based on how many apps you will actually use.
