MYOB to Zoho Books migration

At a glance

Techvaria runs MYOB to Zoho Books migration projects for Australian businesses, and moves Xero files to Zoho Books with the same method. We work with finance owners, bookkeepers and their accountants at SMEs that want accounting inside the same Zoho account as their CRM or custom apps. Delivery is remote, from our offices in Bangalore, Ahmedabad and Dubai, with cut-over timed to the end of a BAS period.

We are a Zoho Premium Partner, implementing Zoho since 2016, with 350+ implementations. The Zoho Books Australia edition handles GST, BAS (monthly, quarterly or annual, on a cash or accrual basis), ABN details, TPAR and ABA bank files, so the setup you rely on for compliance has a direct equivalent.

What moves from MYOB or Xero into Zoho Books

DataHow we handle it
Chart of accountsMapped to Zoho Books account types. Your account codes and names are kept so reports look familiar.
GST tax codesEach code is mapped to a Zoho Books tax rate so the BAS report picks up the right amounts (see below).
ContactsCustomers and suppliers with ABNs, addresses, payment terms and contact people.
Open invoices and billsLoaded one by one as at the cut-over date, so aged receivables and payables match and payments can be applied.
Opening balancesTrial balance at the cut-over date, reconciled to the old file before sign-off.
TPAR historyAgreed at scoping. If you switch mid-year, contractor payments before cut-over are reported from the old file or brought in as totals per contractor.
Bank feedsReconnected in Zoho Books from the cut-over date. ABA files are set up for supplier payment runs.

Full transaction history is optional. Most clients keep the old file read-only for history and audit, and start Zoho Books from clean balances. If you need history inside Zoho Books, we scope it separately.

Mapping GST tax codes to BAS reporting

This is where accounting migrations go wrong. Your current file has codes for GST on sales, GST-free items, input-taxed supplies, capital purchases and BAS-excluded items, and possibly some custom ones added over the years. We list every code in use, map each to a Zoho Books tax rate, and agree the mapping with your bookkeeper or BAS agent before any data loads.

Then we test it. We run a BAS report in a test Zoho Books organisation for a period already lodged from the old system and compare the figures. Differences are traced and fixed before cut-over.

Switching from Xero to Zoho Books

If you have already compared Xero vs Zoho Books and decided to switch, the migration follows the same steps. Xero exports cover the chart of accounts, contacts and reports, and open invoices and bills can be extracted for the cut-over date. Add-ons connected to Xero, such as inventory, job costing or expense tools, need a plan of their own: some are replaced by Zoho apps, some connect to Zoho Books, and some are rebuilt in Zoho Creator.

MYOB is an Australian and New Zealand ledger with its own data export formats, which differ between product versions. We confirm what your edition exports at scoping and plan the extraction around it.

Industries that move from MYOB and Xero to Zoho Books

Most businesses that switch are not unhappy with their ledger. They have outgrown Xero or MYOB AccountRight because the work around it, such as stock, jobs or several entities, has moved into add-ons and spreadsheets. Three groups come up most often.

IndustryWhy they moveWhat the migration has to cover
Trades and constructionQuotes, jobs and progress claims sit in a separate job app or spreadsheetContractor records with ABNs, so TPAR reporting carries on. Businesses that pay contractors for building and construction services may need to lodge a TPAR, due by 28 August each year. Jobs and claims can move to a Zoho Creator app linked to Books.
Wholesale and distributionStock across several locations, customer price lists and back orders handled in add-onsItems, opening stock by location and open sales and purchase orders, moved into Zoho Inventory alongside Books
Multi-entity groupsSeveral companies or trusts, each with its own file and loginEach entity becomes its own Zoho Books organisation, mapped and reconciled separately, ideally with one cut-over date for the group. Group reporting is scoped at the start.

TPAR is not only for builders. Businesses paying contractors for cleaning, courier and road freight, IT, or security, investigation or surveillance services may also need to lodge, so for those industries we check contractor details and ABNs during mapping too.

Cut-over at the end of a BAS period, and payroll

We set the cut-over date at the end of a BAS period, monthly or quarterly depending on your cycle. That way one BAS comes entirely from the old system and the next comes entirely from Zoho Books. No period is split across two ledgers.

The end of the financial year on 30 June is a clean point, but it is also when your accountant is busiest. A quarter end earlier or later in the year is often easier. For TPAR, a 1 July start means the whole year sits in Zoho Books.

Payroll and Single Touch Payroll stay in your current payroll provider. We do not move payroll into Zoho Books. If you run payroll inside MYOB or Xero today, we discuss keeping that subscription for payroll only or moving to a separate payroll provider, then integrate payroll journals into Zoho Books where needed.

How delivery works

Techvaria delivers Australian projects remotely from our offices in Bangalore and Ahmedabad in India and Dubai, where we operate as Techvaria IT Services LLC. We do not have an office or staff in Australia.

India is 4.5 hours behind AEST and 5.5 hours behind AEDT, so Indian mornings and midday fall in Australian afternoons. Our working overlap with the east coast is roughly 1:00 pm to 5:30 pm AEST, or 2:00 pm to 5:30 pm AEDT during daylight saving. Western Australia gets a longer overlap, from late morning. Requests sent in your morning are logged and picked up when our day starts. We do not offer Australian-morning cover as standard; if you need an earlier call for a go-live or a month-end issue, we book it in advance.

On data: Zoho has operated Australian data centres in Sydney and Melbourne, hosted with Equinix, since September 2019, and data in an Australian Zoho account stays in Australia. That helps with the Privacy Act’s APP 8 cross-border question. Offshore staff accessing financial and personal data can still count as a disclosure, so we work under your access controls and a written agreement. This is not legal advice.

If the migration is part of a wider move to Zoho, see our Zoho partner page for Australia or our Zoho Creator developer page for custom apps.

Scoping and pricing in AUD

Every engagement is quoted in AUD after a scoping call. We do not publish a price list because the cost depends on your process, not a package. The quote depends on the number of entities and bank accounts, the tax codes in use, open items at cut-over, whether history is migrated, and the integrations to rebuild. You receive a fixed AUD price. Zoho Books licences are billed by Zoho separately.

Frequently Asked Questions
