At a glance
Techvaria is a Zoho partner for UK businesses that need Zoho One, Zoho CRM, Zoho Creator or Zoho Books set up properly and supported after go-live. We are a Zoho Premium Partner, implementing since 2016, with 350+ implementations behind us. UK projects are delivered remotely from our offices in Bangalore, Ahmedabad and Dubai, with working sessions held during UK mornings and early afternoons.
This page explains what we do for UK clients, how we handle UK-specific requirements such as Making Tax Digital and UK GDPR, and how a project is scoped and priced in pounds sterling.
Zoho partner UK: who we work with
Most of our UK conversations start with an operations director, finance manager or owner who has outgrown spreadsheets, an ageing desktop package or a CRM that nobody updates. Typical situations:
- Service and trades businesses running jobs, quotes and engineer schedules across Excel, email and WhatsApp.
- Wholesalers and distributors that need sales, stock and invoicing to share one set of records.
- Professional services firms that want a CRM tied to proposals, time and billing.
- Sole traders and landlords moving into Making Tax Digital for Income Tax, often with their accountant already involved.
- Companies with a Microsoft Access database or a shared workbook that has become business-critical and fragile.
We do not have a UK office or UK-based staff. If you need someone on site every week, we are not the right fit. If you are comfortable with structured remote workshops, screen-shared build reviews and a named project manager, the model works well.
Industries we build for in the UK
Zoho is general-purpose software, so the value is in how it is configured for your sector. These are the UK industries where we most often see a clear Zoho fit, with the build we would typically propose and the UK rule that shapes it.
| Industry | Typical build | UK rule or system to plan for |
|---|---|---|
| Construction contractors and subcontractors | Zoho CRM for tenders, a Creator app for site jobs, variations and applications for payment, Zoho Books for invoicing | Construction Industry Scheme. Zoho Books UK calculates CIS deductions for contractors and subcontractors and can generate and submit monthly CIS returns to HMRC. CIS contractor tracking is on every plan; submitting CIS returns to HMRC starts on the Professional plan. |
| Landlords and letting agents | Property, tenancy and compliance records in Creator or CRM, rent invoicing and per-property reporting in Zoho Books | MTD for Income Tax for landlords, plus property safety records such as the annual landlord gas safety check |
| Field service and facilities maintenance | Creator job management with engineer scheduling, mobile job cards, offline checklists, photos, signatures and PDF certificates | Compliance records your customers ask for, such as gas safety records, kept against each site and asset |
| Wholesale and distribution | Zoho CRM with Zoho Inventory and Books, or a Creator stock and dispatch app where pick, pack and delivery rules are unusual | VAT on sales and purchases through Books under MTD for VAT |
| Professional services and recruitment | Zoho CRM tied to proposals, Zoho Projects for time and billing; Zoho Recruit for staffing agencies that place candidates | UK GDPR for candidate and client personal data |
If your sector is not listed, the question is the same: which steps of your process do standard Zoho apps cover, and which need a custom Creator module. We answer that in the scoping call.
Zoho One and Zoho CRM implementation
As a Zoho CRM implementation partner for UK firms, we start with how you actually sell: lead sources, qualification, quoting, handover to delivery and renewals. We then configure Zoho CRM around that process rather than importing a generic template.
A typical Zoho One implementation for a UK business covers:
- Zoho CRM: pipelines, layouts, Blueprint for stage rules, approval steps, email and calendar sync with Microsoft 365 or Google Workspace.
- Zoho Books: invoicing in GBP, VAT treatment, bank feeds and links back to CRM deals.
- Zoho Desk or Zoho Projects where service or project delivery follows the sale.
- Zoho Analytics dashboards that pull from CRM, Books and other apps.
- User roles, data sharing rules and training for each team.
We phase Zoho One work so that one or two apps go live first and are in daily use before the next set is added. See our Zoho implementation services page for how phases and sign-offs work. If you already have an internal admin and only need extra hands, you can hire a Zoho developer on a monthly basis instead.
Zoho Creator custom apps for UK operations
Zoho Creator is our main practice. It is where we spend most of our delivery time, and where most of our complex work sits: job management, multi-step approvals, stock and dispatch, field inspections and quoting tools that standard Zoho apps cannot model on their own.
Creator apps can share data with Zoho CRM and Zoho Books, so a job completed in the field can raise an invoice in Books and update the customer record in CRM without re-keying. We also connect Creator to other tools UK businesses commonly use, through their APIs.
For app types and how we scope Creator work, see our Zoho Creator development services. Replacing an Access database is covered on our MS Access to Zoho Creator migration page.
Zoho Books and Making Tax Digital
MTD for VAT is already mandatory for VAT-registered businesses. Making Tax Digital for Income Tax applies from 6 April 2026 to sole traders and landlords with qualifying income above £50,000, above £30,000 from April 2027 and above £20,000 from April 2028.
Zoho Books is HMRC-recognised for MTD for Income Tax, available on all plans including Free. You sign up for MTD for Income Tax with HMRC first. We configure Zoho Books, VAT settings and the HMRC connection, and we work alongside your accountant. Techvaria is not a tax agent or accountant, so tax advice and submissions decisions stay with your accountant.
How we set up Zoho Books end to end is on our Zoho Books implementation page.
Moving from Sage, Xero or spreadsheets
Many businesses are reviewing desktop accounting software as MTD widens. Moving into Zoho Books is usually less about the software and more about getting the data right: chart of accounts, contacts, open invoices and bills, opening balances and the VAT scheme you use, such as flat rate or cash accounting.
We plan cut-over at a VAT quarter boundary so returns stay clean, and we agree with your accountant how much history moves across and how much stays archived in the old system. From spreadsheets, the work is mostly cleansing and structuring data before import.
Our Zoho migration services page explains how we plan and check a data migration. Sage and Xero moves follow the same pattern.
Data protection and UK GDPR
UK GDPR applies whenever we handle personal data on your behalf, which includes customer and employee records inside Zoho. Our approach:
- We sign a data processing agreement with you before we access live data.
- We work inside your Zoho account, using user access you grant and can revoke. We do not copy your data into separate systems for our own use.
- Test imports use sample or anonymised data where practical.
On hosting: UK Zoho accounts are typically served from Zoho’s EU data centres, with UK hosting announced by Zoho. The EU data centres are in Amsterdam (primary) and Dublin (secondary). Data residency choices are made when the Zoho account is created, so raise this early if it matters to your board or customers.
One practical note: Zoho Payroll is not available for the UK. UK payroll stays in a dedicated UK payroll tool such as BrightPay, and we integrate it with Zoho Books for journals and reporting.
How delivery works from India and Dubai
Techvaria has offices in Bangalore, Ahmedabad and Dubai, where our UAE entity is Techvaria IT Services LLC. UK projects are run from these offices.
- Time overlap: India is 4.5 hours ahead of BST and 5.5 hours ahead of GMT. UK mornings overlap with Indian afternoons, so workshops and reviews are held in your morning, and build work continues after.
- Named team: each project has a project manager and a solution consultant who stay with it from discovery to go-live.
- Working rhythm: weekly review calls, a shared project tracker and a sandbox where you can test each phase before it reaches live users.
- After go-live: support on a monthly retainer or a block of hours, with requests logged and tracked.
If something urgent comes up late in the UK afternoon, our team in Dubai is closer in time, though most issues are handled the next UK morning.
Scoping and pricing in GBP
We quote UK engagements in pounds sterling after a scoping call. We do not publish fixed prices, because two businesses asking for “Zoho CRM” can need very different amounts of work.
The scoping call covers your current systems, the processes in scope, integrations, data volumes and who signs off. After it you receive a written scope with phases, deliverables, a timeline and a GBP price. Zoho licences are billed separately, either directly by Zoho or through us, and we will tell you which plan and edition the scope actually needs.
