FTA Supplier Verification with Odoo in the UAE: Due Diligence Inside Your Purchasing Flow
FTA Decision No. 13 of 2026 made supplier and supply verification a condition for recovering input VAT from 1 October 2026. In Odoo, the natural home for those checks is the purchasing flow itself: the vendor record, the purchase order and the vendor bill. Techvaria configures Odoo Purchase, Odoo Accounting and, where you use them, Studio, Approvals and Documents, so verification status, evidence and sign-offs travel with each transaction. Our team in Al Qusais sets up FTA supplier verification in Odoo for Community and Enterprise databases. Reach us on +971 56 683 3122 or speak with an Odoo consultant online.

Odoo Supplier Due Diligence for UAE Input VAT Recovery
According to Al Tamimi & Company’s summary, the decision requires verification before a transaction with a new supplier, and again for existing suppliers not verified in the previous 12 months. For a company supplier, that means confirming incorporation details through official databases or a certificate of incorporation, verifying the authorised representative, and checking that a real place of business exists and suits the supplier’s activities. PwC’s alert sets out the supply-level tests as well: commercial rationale, payment flow, reasonable pricing, licensed activities, ownership and origin of goods, and the role of any intermediary.
Odoo already holds the transactions those tests apply to. What it lacks out of the box is a place to record that the checks happened. Our Odoo partner in Dubai team adds that layer, with fields, approval steps and document links, around the purchase-to-pay process you already run rather than bolting on a separate compliance tool.
Where Odoo Purchasing Leaves Gaps in Supplier Evidence
Odoo lets buyers create a vendor on the fly from a purchase order or bill. That is convenient, and it is also how a supplier gets paid before anyone has looked at its licence. Contact records usually hold a Tax ID and a bank account but nothing about who verified them or when. Cash and third-party payments are posted with a memo line that is rarely used to explain why the arrangement was needed, which is exactly what the decision now expects. In multi-company databases the same supplier can exist more than once, splitting the purchase history behind the AED 100,000 and AED 375,000 thresholds. These gaps seldom surface in day-to-day work; they surface when the FTA asks why input tax was claimed. Our Odoo VAT compliance service covers return configuration; this page covers the supplier evidence behind it.
Our Odoo Services for FTA Supplier Verification
Each service below can be delivered on its own or as part of a single project. We work on Odoo Community and Odoo Enterprise, and we tell you early where an Enterprise app would make a step simpler.
Policy-to-Process Mapping
Your written due-diligence policy must name who implements, reviews and supervises the checks. We map each responsibility to an Odoo user group and step, so the policy and the system describe the same process.
Vendor Contact Clean-Up & Deduplication
Duplicate contacts are merged and missing TRNs, licence numbers and representative details are completed, so purchase history per supplier is accurate before any threshold report is built.
Verification Fields on Vendor Records
Verification status, last-verified date, risk indicators and reviewer are added to the contact form, using Odoo Studio or a small custom module depending on your edition and hosting.
Purchase Order & Bill Approval Controls
Odoo Purchase can require manager approval for orders above a set amount. We extend the control so orders and bills from unverified or overdue suppliers go to a reviewer, with the decision logged in the chatter.
Supplier Onboarding Requests
New suppliers are requested through a structured form, in the Approvals app or a custom model, that collects the licence copy, representative ID and place-of-business evidence before the supplier is approved for purchasing.
Supply-Level Checks on Vendor Bills
A short checklist on the vendor bill records commercial rationale, payment method and any intermediary, while Odoo’s tax return review already flags bills without attachments before the return is closed.
Threshold Reporting & Dashboards
Purchase analysis grouped by vendor over a rolling 12 months highlights suppliers nearing AED 100,000 or AED 375,000, and lists the re-verifications falling due.
Implementation, Training & Support
We configure, test and roll out the changes, train buyers and approvers on the new steps, and stay available as Odoo versions change and your supplier base grows.
Odoo Apps That Carry Supplier Verification
Purchase and Accounting do most of the work. Studio, Approvals, Documents and the rest come in when your edition or approval chain needs them.
Odoo Purchase
Purchase orders, approval thresholds and vendor history, the first point where an unverified supplier can be stopped.
Odoo Accounting
Vendor bills, payments and the VAT return, with attachment checks during the tax return review.
Odoo Contacts
One record per supplier holding the TRN, bank details, verification status and last-verified date.
Odoo Studio
Custom fields and views for verification data without writing code, available on Odoo Enterprise.
Odoo Approvals
Structured requests for new suppliers or exceptions such as cash payments, each with named approvers.
Odoo Documents
Licence copies, ID documents and bank confirmations filed against the supplier they belong to.
Odoo Inventory
Receipts and goods details for stock purchases, supporting the ownership and origin checks.
Odoo Spreadsheet & Reporting
Pivot views and dashboards for rolling supplier totals and overdue re-verifications.
Odoo Multi-Company
Shared or company-specific supplier records for several UAE entities in one database.
Supplier Verification for Odoo Users in Dubai’s Trading and Industrial Zones
The verification rules are the same whether you trade from Deira or manufacture in Dubai Investment Park, but the risk sits in different places. Trading companies carry long lists of small suppliers and more cash purchases. Free-zone and logistics businesses work with overseas agents and intermediaries whose role has to make commercial sense. Manufacturers and contractors make irregular, high-value purchases where pricing against market rates matters most. We configure Odoo to reflect where your exposure actually is.
Our team is based in Al Qusais and supports Odoo users across the emirate, with on-site workshops where they help. Outside Dubai we work with companies in Abu Dhabi, Sharjah, Ajman and Ras Al Khaimah, and deliver Odoo implementation across the UAE.
Dubai Areas Where We Support Odoo Supplier Checks:
- Deira — general traders with many small suppliers and frequent cash purchases.
- Jebel Ali & JAFZA — re-export businesses using overseas vendors and agents.
- Dubai South — logistics operators buying freight, customs and handling services.
- Al Quoz — workshops and contractors paying subcontractors and labour suppliers.
- Dubai Investment Park — manufacturers sourcing raw materials and spare parts.
- Ras Al Khor — plant and equipment buyers whose orders vary sharply in size.
- Al Qusais & Al Nahda — distributors near our office moving supplier evidence out of email.

Why UAE Companies Choose Techvaria for Odoo Supplier Verification
Supplier verification touches buyers, approvers, accountants and treasury, and a design that suits one group can frustrate another. We begin by walking through a real purchase, from request and order to receipt, bill and payment, and decide where each check belongs so it adds the least friction.
As an Odoo Silver Partner with a Dubai team in Al Qusais, we handle configuration, Studio or module development, data clean-up, testing and training in one engagement, on Odoo Community or Odoo Enterprise.
We keep custom work small and documented so it survives upgrades, and we are plain about the limits: Odoo records the evidence and enforces the steps you choose, but judging whether a supplier or supply passes the FTA’s tests stays with your finance team and tax adviser.
Industries We Work With in the UAE
Odoo in the UAE: Choices That Shape Supplier Verification
Community or Enterprise
Studio, Approvals and Documents are Enterprise apps. On Community, the same fields and steps are delivered through a custom module, which takes more development but no extra licences.
Hosting and custom code
Odoo Online does not accept custom Python modules, while Odoo.sh and on-premise installations do. If your verification design needs code rather than Studio, the hosting choice matters.
UAE localisation and VAT returns
Odoo publishes a United Arab Emirates fiscal localisation, and its tax return process includes a review step that checks bill attachments before a return is closed. We confirm what your version provides before configuring the supplier side. For the background to the new rules, read our overview of the October 2026 VAT changes.

Frequently Asked Questions
From 1 October 2026, input VAT recovery depends on verifying suppliers before you deal with them, re-verifying those not checked in the previous 12 months, and checking each supply before deducting input tax. Odoo holds the purchases and bills those checks relate to; the work is to record in Odoo that the checks were done, and by whom.
Not as a standard feature we can point to, and we do not present it as one. Odoo stores the Tax ID and supporting documents; your team performs the incorporation, representative and place-of-business checks and records the outcome. Where an official service offers a suitable interface, an integration can be scoped separately.
No, but it helps. Enterprise apps such as Studio, Approvals and Documents let us configure much of the workflow without code. On Odoo Community we deliver the same fields and approval steps through a custom module.
Published summaries of the decision say cash payments, third-party payments and payments to accounts outside the supplier’s country of incorporation need a justifiable, documented commercial reason. We add a required reason field and, if you want one, an approval step for those payment types, so the explanation is stored with the payment rather than reconstructed later.
We build a purchase report grouped by vendor over a rolling 12 months. Suppliers whose total exceeds, or is expected to exceed, AED 100,000 lose the AED 10,000 per-supply exemption, so the report flags them before smaller bills are treated as exempt.
Documents sit on the supplier contact, the onboarding request or the vendor bill, and changes are logged in the chatter. The decision requires the steps and supporting records to be retained for FTA inspection; confirm the retention period with your tax adviser alongside your other record-keeping obligations.
It can. A supplier shared across companies needs one verification history, while company-specific contacts may need checks in each entity. We agree with you which model fits and set record rules so each team sees the right suppliers.
We work with currently supported Odoo versions and review older databases case by case. Field names and app features differ between versions, so we confirm the approach for your version during the assessment rather than assuming.
No system can guarantee that. A well-designed setup shows what was checked, when and by whom, which is what the decision asks you to evidence. Whether a specific claim is accepted is a matter between your business and the FTA, and tax positions should be confirmed with a qualified adviser.
Start with a free consultation. A Dubai consultant reviews how suppliers are created and approved in your database and proposes a written scope; nothing goes ahead until you approve it. Schedule a consultation online, reach us through our website or ring the Al Qusais office on +971 56 683 3122.
