Techvaria handles Sage to Zoho Books migration for UK businesses moving off Sage 50 or other Sage accounts products. We map your chart of accounts, move contacts, open invoices and bills and opening balances, set up your VAT scheme and plan cut-over at a VAT quarter boundary so Making Tax Digital filings carry on without a gap. Work is delivered remotely from our offices in Bangalore, Ahmedabad and Dubai, alongside your accountant.
Many businesses are reviewing desktop accounting software as MTD widens to sole traders and landlords. This page explains what moves, the migration steps, and how VAT and MTD continuity are protected.
Why UK businesses look at Zoho Books as a Sage alternative
The reasons we hear are practical: a desktop install tied to one machine or a remote desktop server, data files that need backing up and restoring, separate add-ons for bank feeds or remote access, and finance teams who want to approve bills from a phone. As a Sage alternative, Zoho Books runs in the browser and on mobile, has bank feeds, and connects natively to Zoho CRM, Zoho Inventory and Zoho Creator.
MTD for VAT is already mandatory for VAT-registered businesses, and Zoho Books submits VAT returns to HMRC. Zoho Books is also HMRC-recognised for MTD for Income Tax, available on all plans including Free, for sole traders and landlords who have signed up for MTD for Income Tax with HMRC. Details are on our Zoho Books Making Tax Digital page.
Zoho Books will not suit every Sage user. If you rely on deep job costing, complex multi-entity consolidation or Sage-specific add-ons, we will say so at scoping and discuss whether Zoho Books plus Zoho Creator, or a different approach, fits better.
Sage to Zoho Books migration: what moves
- Chart of accounts. Sage nominal codes are mapped to Zoho Books accounts. This is a good moment to merge unused codes; your accountant approves the final structure.
- Contacts. Customers and suppliers with addresses, VAT numbers, payment terms and contact persons.
- Open invoices and bills. Every unpaid sales invoice and purchase bill at cut-over, so aged debtors and creditors match Sage on day one.
- Opening balances. Trial balance at the cut-over date, including bank, VAT control and suspense accounts, agreed with your accountant.
- VAT scheme. Standard, flat rate or cash accounting is set up in Zoho Books to match your HMRC registration, along with VAT rates and return periods.
- Items and price lists where you invoice from a product or service list.
- Historic data. We agree an approach with your accountant. Most clients move opening balances plus open items, and keep full transaction history in a read-only Sage copy or exported reports. Some bring the current financial year’s transactions across for comparison reporting. Moving many years of line-level history adds cost and rarely adds value. Zoho advertises free migration to Zoho Books for UK businesses; we use Zoho’s tools where they fit and handle the mapping, VAT and reconciliation work around them.
Payroll is a separate decision. Zoho Payroll is not available for the UK, so UK payroll stays in a dedicated UK payroll tool such as BrightPay. If you run payroll in Sage, it can stay there or move to another UK tool, and we integrate payroll journals into Zoho Books.
Sage 50 to Zoho Books: migration steps
A Sage 50 to Zoho Books move typically runs through these stages:
| Step | What happens | Who signs off |
|---|---|---|
| 1. Scoping | Review Sage data, VAT scheme, users, reports and integrations; agree cut-over date and historic data approach | You and your accountant |
| 2. Account mapping | Map nominal codes, tax codes and departments to Zoho Books | Your accountant |
| 3. Zoho Books setup | Organisation, VAT settings, invoice templates, users and roles, bank feeds | You |
| 4. Trial migration | Load contacts, items and open items into a test organisation; reconcile against Sage reports | Finance lead |
| 5. Cut-over | Close the VAT quarter in Sage, file the return, load final opening balances and open items into live Zoho Books | Your accountant |
| 6. Reconciliation | Match trial balance, aged debtors and aged creditors to Sage at the cut-over date | Your accountant |
| 7. HMRC connection and training | Connect Zoho Books to HMRC for VAT, train users on daily tasks and the first return | You |
Industries: Sage users we commonly move
The migration steps are the same for everyone, but each sector brings one thing that has to be checked before cut-over.
| Who | What needs extra care | How it is handled in Zoho Books |
|---|---|---|
| Construction contractors and subcontractors | CIS deductions on open invoices and bills, subcontractor UTRs, and which CIS months were already filed from Sage | Zoho Books UK tracks CIS contractors on every plan and submits monthly CIS returns to HMRC from the Professional plan. We align the first CIS month in Zoho Books with the first VAT period so neither return is split. |
| Small trades and service firms | Flat rate or cash accounting VAT, and job or department codes used in Sage reports | VAT scheme set to match your HMRC registration; Sage departments mapped to reporting tags |
| Wholesale and distribution | Stock items, price lists and stock values at cut-over | Items and opening stock loaded into Zoho Books or Zoho Inventory, and reconciled to the Sage stock valuation |
| Professional services and recruitment agencies | Recurring invoices, timesheet billing and retainers | Recurring invoice profiles rebuilt, with Zoho Projects or Zoho CRM linked where time or placements drive billing |
For construction firms, HMRC deducts 20% from registered subcontractors and 30% from unregistered ones, or nothing where gross payment status applies, and contractor CIS returns are due by the 19th of each month. Your accountant confirms the CIS settings and each subcontractor’s status before we go live.
Cut-over at a VAT quarter boundary
We plan cut-over for the first day of a new VAT quarter. The last return for the old quarter is filed from Sage, and the first return for the new quarter is filed from Zoho Books. This avoids splitting one VAT period across two systems, which is where errors and HMRC queries start.
For businesses on cash accounting, unpaid invoices and bills at cut-over need care, because VAT falls due when they are paid, not when they were raised. We bring them across so VAT is recognised in Zoho Books on payment. Flat rate scheme users need the correct percentage and any limited cost trader position set before the first return; your accountant confirms both.
MTD continuity
Moving software does not pause your MTD obligations. To keep VAT filing continuous:
- File the final Sage return before disconnecting Sage from HMRC.
- Authorise Zoho Books with HMRC so the next return can be submitted on time.
- Keep the Sage data available for the period HMRC requires you to retain records.
Sole traders and landlords coming into MTD for Income Tax follow the HMRC sign-up and Zoho Books setup steps on our MTD page. Techvaria is not a tax agent or accountant: we configure the software and work alongside your accountant, who advises on and approves submissions.
How delivery works
Techvaria is a Zoho Premium Partner, implementing since 2016, with 350+ implementations. We work from offices in Bangalore, Ahmedabad and Dubai (Techvaria IT Services LLC) and have no UK office. India is 4.5 hours ahead of BST and 5.5 hours ahead of GMT, so UK mornings overlap with Indian afternoons. Mapping workshops and reconciliation reviews are held in your morning.
UK GDPR applies to the customer and supplier data we move. We sign a data processing agreement and work inside your Zoho account. UK Zoho accounts are typically served from Zoho’s EU data centres in Amsterdam (primary) and Dublin (secondary), with UK hosting announced by Zoho. For broader Zoho work around Books, see our Zoho implementation page or the Zoho partner UK overview.
Scoping and pricing in GBP
We quote migrations in GBP after a scoping call. Price depends on transaction volume, the number of open items, how much history you want moved, the VAT scheme and any integrations. You receive a written scope with the cut-over date, the reconciliation checks we will run and what your accountant needs to supply. Zoho Books licences are separate.
