Distribution ERP Software for UAE Traders and Distributors

Landed Cost, Multi-Warehouse Stock, Batch and Expiry, Van Sales, Credit Control and VAT on Zoho or Odoo

Trading margins in the UAE are made or lost on landed cost, stock accuracy and credit control. Re-export, free zone and mainland entities add VAT and customs complexity. We implement distribution ERP systems on Zoho Inventory and Zoho Books, extended with Zoho Creator where needed, or on Odoo for larger multi-warehouse operations.

Where Distribution Margin Is Made or Lost

Where Distribution Margin Is Made or Lost

Three numbers decide whether a trading business makes money, and spreadsheets get all three wrong at volume:

  • Landed cost: freight, duty, insurance and clearing added as a flat percentage, so margin per SKU is a guess.
  • Stock accuracy: stock held across warehouses, vans and free zone stores that never quite matches the books.
  • Credit control: orders keep shipping to customers who are already past their terms.

A distribution ERP links purchasing, stock, sales and accounting, so each of these is calculated from transactions rather than estimated at month end.

Which Platform Fits Your Distribution Business

We implement both Zoho and Odoo, so the recommendation follows your operation rather than a product we prefer. As a starting point:

  • Up to three warehouses and standard processes: Zoho Inventory plus Zoho Books.
  • Custom approvals, van sales or landed cost rules: Zoho Inventory and Zoho Books, plus a Zoho Creator app.
  • Many warehouses, light manufacturing or kitting: Odoo Inventory, Purchase, Sales and Accounting.

These are our recommendations, not vendor limits. We confirm the fit after reviewing your order volumes, warehouses, entities and integrations.

How a Distribution ERP Project Runs

How a Distribution ERP Project Runs

  1. Process review: entities, warehouses, order flow, pricing and credit rules mapped.
  2. Design: item structure, warehouses, costing method and landed cost rules agreed with finance.
  3. Configuration and custom apps: the platform set up, plus any Creator app or Odoo customisation.
  4. Data migration: items, opening stock, open orders and balances moved and reconciled.
  5. Testing and go-live: a full purchase-to-payment cycle tested before cut-over, then support.

The duration depends on your warehouses and integrations, and we confirm it in the written scope. For platform detail, see our trading and distribution ERP on Zoho, Odoo Inventory for trading companies and our guide to landed cost in Odoo.

Industries We Serve Across the UAE

UAE Distribution: Free Zones, Supplier Checks and E-Invoicing

Three UAE requirements affect how a distribution ERP is set up.

Mainland and free zone entities

Each legal entity keeps its own books, VAT registration and stock. In Odoo, inter-company rules can create the matching sale and purchase in both companies; in Zoho, each entity is a separate Zoho Books organisation. Movements between mainland and designated zone locations can have VAT consequences, so the treatment is agreed with your tax adviser and built into the transfer process.

Supplier verification for input VAT

From 1 October 2026, input VAT is recoverable only where suppliers have been verified under FTA Decision No. 13 of 2026. Distributors with many suppliers need those checks recorded inside the purchasing flow; see our guides to supplier verification in Zoho and in Odoo.

E-invoicing from 2027

E-invoicing starts on 1 January 2027 for businesses with revenue of AED 50 million or more, and on 1 July 2027 for the rest. Customer master data, item codes and tax settings need to be clean before then; our e-invoicing readiness guide covers the preparation.
